Invoicing Process

This article describes the invoicing process at Genio Roasters.  It serves to help you understand what documents you will receive at which point in time during the sale of a coffee roaster.

Important note on Taxes

When purchasing something from overseas, you are not charges Sales Tax (often called VAT or GST) in the country of origin.  It is only paid in the country of destination.  

For example:

You purchase a machine destined for South Africa:  South Africa has a sales tax of 15%.  If the goods are destined for South Africa, we charge the 15% VAT amount on the Tax Invoice. 

You purchase a machine destined for Germany: If the final destination for the goods are in Germany, but your live in Spain, the goods will be taxed in Germany at the relevant Sales Tax rate.  In this case, you are not charged the South Africa or Spanish sales tax.  Your clearing agent will determine the relevant taxes payable by you, and will include any such duties and taxes on their invoice to you.  Even if the goods arrived at a shipping port in Italy, the final destination is Germany and the taxes will be calculated based on this final destination.

Invoicing at Genio Roasters:

Step 1: Quotation

First, we issue a quotation on your planned purchases

Step 2: Proforma Invoice

Upon acceptance of the quote, we issue a Pro Forma Invoice.  This document shows all of the products that you have purchased along with the terms and conditions of the sale

Step 3: Commercial Invoice

A Commercial Invoice is issued when the goods have shipped overseas.  This document will differ from your Pro Forma or final Invoice, because it only lists those items necessary for customs to complete their inspection.  For example, it will not list any shipping crates of soft services like installation and training costs, because those are not goods that pertains to customs inspection at the port.

Step 4: Tax Invoice

Once the final payment is received, the final Tax Invoice is created.  Sales Tax is only added if your final destination is South Africa.  Otherwise, your Tax Invoice will not show any sales tax, as this is paid by you to the clearing agent in your country of final destination.
